A conversion extracts the database of the old system, maps its fields to the new one and loads the result. Demographics, appointments, insurance plans, ledgers and treatment history usually transfer. Clinical notes, perio charts, recall rules and images transfer partly or need a separate project.
Good practice is a test conversion first, a check of sample patients and account totals, then a final conversion over a weekend. Where vendors publish a fee it is about $1,200 to $1,450 per database, with imaging extra.
